Friday Interviews. The consultation team will need to have 1.5-2 hours to interview the Senior Pastor, and 30-45 minutes to interview staff and leaders. In general, it will be helpful to interview paid staff and any leaders who can give the team a sense of what is happening at the congregation. Leaders who can give the team different perspectives or points of view will be helpful to get the entire picture. The interviews will end at 5:00 pm on Friday afternoon. The starting time will be 9:00 a.m., or later if there are not that many people to interview. An office or small meeting room will provide an appropriate setting for the interviews.
Dinner with Pastor and Spouse. At 5:00 the team will have dinner with the Senior Pastor and his spouse. Reservations for the entire group should be made at a local restaurant where there will be some degree of privacy. One of the team members will lead an interview with the spouse over dinner. Check with the District Facilitator to determine who pays for the dinner.
Focus Group. The focus group begins at 7:00 or 7:30 back at the church, and should take about 90 minutes. People attending the focus group should not be among the regular leadership of the congregation, but would represent people who attend worship regularly and are active in the life of the church. A general invitation may be made for the congregation to attend, but special effort to recruit people should be made so that a critical mass shows up that evening. The expectation is that a minimum of 12 people would attend the focus group. The aim of this activity is for the team to get further input on what is happening in the congregation. The Pastor and his family should not attend this event.. The meeting room should be set up in any convenient way. An easel and pad of flip-chart paper will be needed.
Saturday Training. The positional leaders and other key people should attend the session from 9:00-3:00. The first hour will be interviews much like at the focus group, and the balance of the time will be for training in principles of transformation. In addition to the leaders, any people of influence in the congregation and any people with a passion to see the congregation more outwardly focused will be welcome. People from the Friday focus group may wish to return after that experience, and they would be welcome as well–but they should come at 10:00 to avoid repeating what they did the previous evening. The room should be set up with separate tables of 4-6 chairs oriented so that everyone can see the projection screen. A screen will need to be provided by the church; check with the consultant to see if he/she will bring a powerpoint projector or whether the church will provide one. Two sheets of flip-chart paper with post-it sicky back will be needed for each table and a couple of broad felt-tip markers should be on each table as well. A simple lunch will need to be provided on site; 45 minutes around noon will be set aside for lunch.
Writing the Report. At 3:30, the team will begin to write the report. In general, they will stay on the premises of the church in a private space and will be left alone to do their work. This could take quiet a few hours. When they are finished, they will e-mail the report to the Senior Pastor, who should read it over, noting any factual errors or concerns he has. He should have pre-arranged with the team how the building will be closed and secured after the team has completed its work that evening.
Sunday Morning Meeting with the Pastor. The team will pre-arrange a meeting with the Senior Pastor prior to the Sunday service(s). They will go over the report at this meeting, discussing any concerns the Pastor has about the report, and any changes they agree on will be made. When the final draft of the report is completed, someone will need to run off enough copies so that everyone expected at the Town Hall meeting after worship can have one.
Sunday Worship. In general, the Lead Consultant will give the sermon at all the weekend worship services. He should be contacted in advance to go over the details of the service, bulletin information and vestments.
Sunday Town Hall Meeting. After Sunday worship, the entire congregation is invited to a Town Hall meeting in which a DVD overview of the TCN process will be shown and the report will be read. In general, a luncheon will procede the meeting.
